Job description (Executive secretary)
- Amharic and English typing skills
- Maintaining the executive’s agenda and assisting in planning appointments, board meetings, conferences, etc.
- Attending meetings and keeping minutes
- Receiving and screening phone calls and redirecting them when appropriate
- Always monitor and follow up on contracts, which means making sure all documents are signed and up-to-date.
- Handle and prioritize all outgoing or incoming correspondence (e-mail, letters, packages, etc.)
- Handle confidential documents ensuring they remain secure.
- Maintain company confidentiality
- Monitor office supplies and negotiate terms with suppliers to ensure the most cost-effective orders
- Maintain electronic and paper records ensuring information is organized and easily accessible
- Keep the meeting room ready in advance.
Required skills
- 5 years and above of proven experience as a secretary or executive secretary
- Microsoft Office
- Familiarity with basic research methods and reporting techniques.
- Organizational and time-management skills
- Degree/diploma
