Program Assistant

 

Internews is a media support nonprofit working in more than 100 countries. We train journalists, tackle disinformation, and help media outlets become financially sustainable – so that everyone has trustworthy information to make informed decisions and hold power to account. Working in Sub-Saharan Africa since 1998, Internews currently has offices and projects throughout the region with its regional office in Nairobi. Internews is seeking a Program Assistant for its USAID project- The Ethiopia Election and Political Processes Activity (EEPPA). The follow-on project on Democracy Elections and Political Process (DEPP) seeks to strengthen democratic elections and political processes through several objectives comprising- Enhanced meaningful participation of citizens, including traditionally marginalized voices, as well as CSOs and media in political and electoral processes. Internews oversees the media component of the project to enhance media’s capacity to present fact-based and objective reporting on issues impacting electoral and democratic processes and reforms.

Position Overview: 

The Project assistant will provide administrative, programmatic, and operational support to the Media Lead and the project team.

Duties and responsibilities:
Administration and Logistical Support

  • Coordinate travel logistics assist with hotel bookings, taxis, visas etc and arrange accommodations for Internews in country activities;
  • Provide logistical and administrative support for regional meetings and trainings in Addis Ababa and various parts of the country;
  • Request quotes prepare documentation for approval by relevant budget authority and place orders;
  • Prepare expense reports;
  • In consultation with the Regional Office, ensure compliance with Internews procurement policy; prepare Procurement Request forms to obtain Purchase Orders (PO) approvals.
  • Facilitate vendor payment by cash, cheque, or wire transfers.
  • Coordinate periodic meetings with the project team, local partners and other staff members;
  • Provide correspondence and admin support for project team and in-country (Ethiopia) staff as needed;
  • Assist project team with submitting payment requests;
  • Works with HR departments on Business World staff entries and management;
  • Works with HQ HR Department to draft Personal Service Contracts (PSCs) and liaise with Regional HR for all related matters.
  • Review PSC invoices and activity reports before submission.

Program Support:

  • Support the Media Lead with any programmatic needs in the country especially during trainings and meetings.
  • Record meeting minutes.
  • Prepare signing sheets and payment documents for activities.
  • Support Monitoring and Evaluation in country for example administering pre- and post- tests during trainings, ensuring all data is collected and documented properly.
  • Process and analyze data collected from participants of the various trainings to measure achievements against the performance indicators.
  • Support project monthly reporting, progress reporting, project mid-term review and final evaluation.
  • In collaboration with the Subgrants Officer, identify areas where technical support to project partners is required.

About You

Qualifications:

  • BA Degree in Business Administration, Management, Accounting, Economics, or a related field.
  • At least 2-3 years of experience with admin and finance management and programs support
  • Experience with event planning and/or arranging logistics for project implementation
  • Experience with travel arrangements
  • Experience in activity budgeting, expense reporting and administering contract agreements
  • Excellent written and verbal communication skills
  • Ability to work independently and as part of a team
  • Proficiency in Microsoft Office and other MS tools.

2.Journalism Trainer

General Functions:

The Journalism Trainer reports to the Media Lead and will be involved in the design and implementation of all media trainings, mentoring and support to journalists and media houses. The trainer will also lead on the content production, and story production support to journalists and community media to help enhance media’s capacity to present fact-based and objective reporting for the general public on issues impacting electoral and democratic processes and reforms.

 Duties and Responsibilities

  • Work with the Media Lead and other project staff to devise and manage a series of country media engagement and training plans, to coordinate travel, to provide guidance at the training locations and to conduct on-site and distance mentoring to partner journalists.
  • Lead the Internews media capacity building program to strengthen reporting on democracy, governance and elections in Ethiopia. The Senior Journalism Trainer is expected to research and prepare training materials, develop curriculum for, and implementation of the training workshops, mentorships and story awards, which are related to independent media, community radios and online media.
  • Design and implement capacity building of local journalists in Ethiopia on information gathering techniques, conflict sensitive reporting, inclusivity, including, script writing, and technical aspects of mixing program content.
  • Oversee, lead, and track the mentorship and production stipend recipients content production on various media.
  • Take Lead in organizing editorial and other election and media related roundtables in collaboration with local partners. Guide the recording of these roundtables for later airing on various media and online platforms.
  • With close collaboration with the Media Lead, follow up, guide and document the work of partner media organizations and other local partners.
  • Produce story outputs and success stories for the training and mentorship activities, in close collaboration with the Media Lead and the M&E team.
  • Ensure timely reporting of activities to the Media Lead and effective collaboration with relevant Internews staffs.
  • Build and maintain relationships with Ethiopian Media Authority (EMA), and other media development organizations in country; represent Internews in all relevant coordination fora and through interaction with key partners; maintain and update a database with relevant contacts.
  • Explore new ways of engaging with local media partners and communities.
  • Work closely with the Ethiopia Media Lead and other Internews staff in the planning and implementation oof relevant activities.

About You

Qualifications:

  • MA in Journalism, Communications, and International Relations.
  • At least 4 years of experience in managing media/journalism capacity building and development activities in Ethiopia.
  • Experience in training and mentoring journalists or journalism students, as well as developing training curriculum.
  • Experience in journalism and newsroom management.
  • Significant ability to analyze and interpret media trends and needs.
  • Experience in creating and managing training budgets.
