Job Summery 

The Executive Assistant is responsible to provide high-level administrative support and assistance to the support service directorate.

Main Duties and Responsibilities

  • Provides high-level administrative support and assistance to the Support service directorate;
  • Performs clerical and administrative tasks including drafting letters, memos, invoices, reports, and other documents;
  • Maintains proper records of incoming and outgoing correspondence and files in appropriate manner to enable easy and quick tracing;
  • Facilitates meeting schedules and attends meetings on behalf of the support service directorate, taking notes and preparing minutes;
  • Handles Departmental issues working that are directed under support service Directorate.
  • Handles customers issue, screens and schedules for appointments and remind the SSD.
  • responding to email, messages, and other correspondences;
  • Receives incoming communication/memos and reviews contents, determines importance; and distributes to the concerned staff;
  • Performs office tasks including maintaining records, ordering supplies, and performing basic bookkeeping;
  • Performs other related duties as assigned;

About You

Qualification and Experience 

  • Bachelor Degree in Business Management or related fields with a minimum of 5 years work experience in the same position.

2.Procurement and Logistics Officer

Main duties and responsibilities:

  • Collects and maintains current information regarding sources, prices, and specifications of goods and services that may be needed by the organization to ensure practicality, cost-effectiveness and supply availability;
  • Maintains supplier list for the supply of goods and services and updates it periodically;
  • Executes all purchases in accordance to the corporate policies and procedures;
  • Receives approved requisitions and collect proforma invoices and presents to the supervisor for approval;
  • Purchases materials, supplies, equipment and services in accordance with purchasing policies and procedures;
  • Ensures timely preparation of cheque or CPO in order to avoid unnecessary delays in executing purchasing activity;
  • Obtains survey certificate for any damage or loss of goods and lodges clam with insurance Company;
  • Submits all purchase items to the storekeeper and through official Goods Receiving Note of the Company;
  • Maintains records of all purchase transactions;
  • Prepares monthly report on purchasing activities and submits to his/her supervisor;
  • Handles administration of import documents;
  • Manages all bank and customs documents, ensure correctness and completeness in the process;
  • Administers customs clearance process;
  • Liaises with transit personnel, banks and customs for timely and efficient cargo clearance;
  • Reports regularly status of cargo (incoming and outgoing) to the management;
  • Support local sourcing team in the process of moving goods towards company shipping point;
  • Handles all operational issues such as permits form any concerned authority and related tasks;
  • Arranges transport for inbound and outbound cargo;
  • Makes sure that office vehicles are serviced periodically and manufacturer’s maintenance guideline and insure all repair and maintenance are as per vehicles maintenance guideline;
  • Collects daily and weekly transport plan from the users and organize the transport in cost effective way;
  • Monitors office, rented vehicles daily movement, and ensure that resources are effectively used for Concern interest only;
  • Develops daily fuel issue tracking sheet and ensure fuel drums are replenished before reaching the minimum stock level;
  • Produces monthly transport report with all information like; Maintenance cost, fuel consumption, availability, utilization, accident/incident and need satisfaction;
  • Follows up in case of accidents necessary procedures (insurance company, traffic police, lawyer, reporting, visiting scene, etc.);
  • Makes sure that all agreements like; vehicles maintenance, spare part and office rent are timely renewed;
  • Monitors logbooks and vehicles charge out sheet of Drivers on a weekly basis ensuring that they are filled in properly fuel usage, KM analysis;
  • Performs other duties as may be assigned by the supervisor.

Salary: Negotiable plus commission

About You

Qualification and Experience: 

  • BSc/Collage Diploma in Purchasing/Logistics and Supplies Management with a minimum of 2/4 years work experience services in related jobs
